🧾 Booking & Payment Policy

Last updated: 01. June 2026

At Terra Sur Travels, we believe in journeys that are as smooth as a cruise through the Galapagos — and that includes being transparent with how bookings and payments work. Whether you’re preparing for a jungle adventure, a desert escape, or a luxury catamaran, it’s important to understand what’s expected from both sides.

We terravelers believe in clear commitments, so here’s everything you need to know.

🛒 1. Booking a Trip with Us

When you say “yes” to an itinerary proposal and we confirm it in writing, your tour is considered confirmed. The next step: securing it with a payment.

Depending on how far in advance you’re booking, the payment terms are:

  • 61+ days before trip start date:
→ A 35% non-refundable deposit is required to reserve your trip.

  • 60 days or less before the trip:
→ The full amount is required at time of confirmation.

Your spot is not secured until payment is received.

💳 2. How to Pay

We offer multiple options depending on your country and currency preferences:

  • International bank transfer (SWIFT; USD or EUR) Fees may apply

  • Credit card (subject to processing fees; usually 5%)

  • Wise (our recommended method: low fees, fast, transparent)

  • PayPal (on request; additional costs will apply)

You’ll receive detailed payment instructions tailored to your trip and location.

All payments are confirmed with official receipts.

📆 3. Final Payment Deadlines

  • The final payment must be made no later than 60 days before your trip starts.

  • If you’re booking a last-minute trip (<60 days), full payment is due immediately.

Late payments may result in cancellation of services with loss of deposit.

💰 4. Refunds & Cancellations

At Terra Sur Travels, we understand life happens. Cancellations are never fun — for you or us — but we’ll always do our best to soften the impact.

✅ Here’s how it works:

  • Deposits (35%) are non-refundable.

  • 60+ days before trip: If you cancel, only the deposit is retained.

  • Less than 60 days before trip: We’ll do our best to recover what we can from providers. Any refunded amount we receive will be passed on to you.

⚠️ Important: Since we’re not the direct provider of tours, cruises, or hotels, we can only refund what our partners agree to refund. But rest assured — we negotiate for you.

🔁 5. Changes or Adjustments to Your Itinerary

Need to tweak your trip? We get it. If you need to change dates, services, or participant numbers:

  • Notify us as early as possible

  • We’ll consult our providers to see what changes are feasible

  • Some providers charge change fees; others don’t. We’ll let you know all options.

We’re flexible, but ultimately tied to third-party policies.

🌪️ 6. Force Majeure (Unforeseen Events)

Sometimes the world throws curveballs: volcanic ash clouds, blocked roads, sudden strikes, or a heat wave turning Patagonia into a sauna.

These are considered Force Majeure events:

  • Natural disasters (floods, earthquakes, wildfires, storms, volcanic eruptions)

  • Severe weather conditions

  • Political unrest, protests, riots

  • Government restrictions or border closures

  • Epidemics or pandemics

  • Transportation shutdowns

  • Any other unforeseeable circumstance beyond our or our providers’ control

In case of Force Majeure:

  • We will work hard to modify, postpone, or adjust your trip.

  • Refunds may be partially or fully impossible, depending on providers.

  • We will never charge you for costs we didn’t incur, and we’ll fight for any partial recoveries.

📌 Important Note: Travel insurance may cover cancellations or disruptions due to force majeure. That’s why we always recommend it. See below.

🛡️ 7. Travel Insurance Is Mandatory

We highly recommend purchasing travel insurance that includes:

  • Trip cancellation and interruption

  • Medical emergencies (including Covid-related)

  • Lost luggage or documents

  • Travel delays or missed connections

  • Adventure activity coverage (e.g., hiking, snorkeling, horseback riding)

Terra Sur Travels is not responsible for losses caused by situations beyond our control.
But the right insurance is.

You may purchase insurance through your home provider or a specialized international agency — we’re happy to make recommendations.

🧾 8. Terra Sur Travels as Your Intermediary

We design your trip and coordinate everything — but we are not the direct provider of the services. This includes:

  • Yacht and catamaran cruises

  • Domestic or international flights

  • Excursions, guides, and transfers

  • Hotels and ecolodges

We carefully vet every provider, but they have their own terms and policies.
In case of cancellation or changes, we are subject to their conditions — not our own.
